Girl Scouts of Orange County 2020 Cookie Program for Volunteers
The 2020 Cookie Program Has Ended

In line with the State of California’s Stay at Home order issued on March 19, 2020 and local school closures, all in-person troop meetings or trips, extended cookie booths, Service Unit events, and other volunteer-led programs/events scheduled prior to May 15 must be cancelled. Visit our webpage for badges and activities that our Girl Scouts can do at home.

Troop proceeds at 80¢!
Cookies taken from Cupboards, virtual Cookie Share, and Direct Ship orders placed last week have put troops into Proceeds Level 7! GSOC girls sold an impressive number of Girl Scout cookies this season! Numbers are not yet final, so watch for April’s Member News for our annual list of Stellar Sellers and cookie program results.

Top Cookie Sellers – Cookie Reward Experience Dates
Due to the evolving situation involving COVID 19 – all upcoming top seller experiences may be postponed. All Girl Scout experiences prior to May 15 are currently being rescheduled. Visit gscookiesetc.org for the latest information on upcoming Cookie Reward Experiences. Families will be notified once event dates are confirmed.

Thank you for your support of the Troop Cookie Coordinators this season!  Top sellers will be announced in April.

IMPORTANT:  We will be pulling the delivery address for the recognitions from ABC Smart Cookies on Monday, March 23 to give to our vendors.  Please look at your Service Unit information under the Council tab in ABC Smart Cookies to make sure the name and address listed is where the recognitions are to be delivered.  Follow the instructions on page 8 of the Service Unit Plan Book if this information needs to be updated.

Recognition orders will be final and cannot be changed on Monday, March 23.  Please email cookies@girlscoutsoc.org if any changes need to be made in ABC Smart Cookies.

It’s Service Unit crunch time!  Be sure to check troop reports for accuracy, make corrections and complete steps to be eligible for SU Bonus.

March 11: Troop Final Paperwork Due to Service Unit by 9:00AM
(Service Unit Plan Book page 30)

  • Troops EMAIL copy of Troop Balance Summary to you and cc their Troop Treasurer & Leaders. 

March 11-15: End of Sale Service Unit Processing 
(Service Unit Plan Book pages 30-36)
Completing these steps is a requirement for the SU Bonus

  • Review Troop reports for accuracy and make corrections
  • Verify all cookies have been assigned using the Troop on Hand Inventory, allocate leftover to girls and correct any over allocations made by troops (listed on Troop on Hand Inventory as a negative number)
  • Verify recognition orders have been placed, create and review orders for troops as needed

Reminder, use the Manage Recognition Orders feature under Recognitions to update recognition orders as needed.

By Sunday, March 15:
Completing these steps is a requirement for the SU Bonus

  • Send email to cookies@girlscoutsoc.org saying “Service Unit Processing is complete.” In the subject line.  In the body of the email, include information for troops with unresolved errors, delinquencies or Counterfeit Bill reports if necessary.  Note if a troop was unresponsive.
  • Complete online Service Unit Stretch Bonus form located at gscookiesetc.org/cookies/forms

IMPORTANT :  We will be pulling the delivery address for the girl rewards from ABC Smart Cookies on Monday, March 16 to give to our vendors.  Please look at your Service Unit information under the My Service Unit tab in ABC Smart Cookies to make sure the name and address listed is where the girl rewards are to be delivered for your Service Unit.  Follow the instructions on page 9 of the Service Unit Plan Book if this information needs updating.

February 19: Troop First Payment via ACH Debit will begin. Each bank process payments differently, so it may take a few days to show up in your troop account.

  • Instruct troops who are having difficulties making their first payment to: 
    • Schedule booth sales using the Booth Scheduler on ABC Smart Cookies or by contacting their Service Unit Booth Coordinator
    • Post excess inventory on the Cookie Swap site.

Troop Proceeds Update
Troop proceeds are guaranteed at 71¢ per package and when the Council’s overall cookie sales reach 2,411,719 troop proceeds go to 72¢ per package. To date troops have sold 2,322,192 packages. We are so proud of the girls and grateful to our volunteers and parents for their support. Keep up the GREAT work!

Stellar Skills Contest
Calling all Orange County Girl Scouts who have standout cookie business skills! We want first-time sellers and veteran cookie pros alike to enter the Stellar Skills contest. One girl will be selected to represent each of the 5 Skills: Goal Setting, Decision Making, People Skills, Business Ethics, and Money Management. Our Steller Skills girls and their families will be invited to attend the Stellar Sellers Dinner, receive a special recognition of their Stellar Skills, and earn a fun patch! Complete the online entry form by March 31 to enter.

Please note that the Girl Scouts of Orange County offices and shop will be closed on Monday, February 17, for the Presidents’ Day holiday.

Rain or Shine: Booth Sales Begin this Friday, February 14 - Get ready to booth! Be prepared for the possibility of rain or heat. Store cookies off the ground and in a cool, dry location, like in an empty cooler or tarp-covered wagon. To prevent melting, store with a towel between the cookies and ice packs. Check with your Booth Sale Coordinator if an E-Z up is needed. Plus, Booth Angels will be visiting booths with certificates starting this weekend!

Review the Booth Sale Guidelines and Tips (Troop Plan Book pages 21-24) with your girls and check out our awesome tools for selling, which includes printable Cookie Share receipts and a Cookie Share flyer.

If you need to cancel a booth sale reservation, you must cancel in Smart Cookies right away, preferably by 10am the Monday prior so we can open the shift for other interested sellers. Thank you!

The online Adult Booth Sale Training is now live! All Adults participating in booth sales must complete online Booth Sale training, even for parent/daughter booth sales. Get Started Here.

Note Cookie Program Update
The numbers included in yesterday’s Volunteer News Cookie Program update were incorrectly reported. The update below reflects the corrected total packages picked up and the remaining packages needed to reach the first troop proceeds jump.

The number of packages picked up by the troops is 2,130,192. Way to go! Just 281,527 more packages to reach the first troop proceeds jump.

Social Media Posts
Girls 13 and older may use Facebook, Twitter, Instagram and text messages, IMs and emails as online marketing tools to let family, friends and former customers know about the Cookie Program.  Girls under 13 cannot independently set up online marketing sites but can use their parent or guardians online sites with their approval and supervision.

Girl safety is always our first concern. We are guided by our Girl Scout Promise & Law in all our activities, including empowering girls to learn entrepreneurial skills through our girl-led cookie program.

Last Call for Mega Shortages - Troops should contact a cupboard to make arrangements to pick-up the cookies they were shorted at the mega delivery by Friday, February 9, 2019.  Include “Mega Shortage” in the subject line and the following information in the body of the email:

The Cupboard Manager will confirm receipt of the email and arrange a pick-up date and time with the troop. The Cupboard Location listing is located on gscookiesetc.org/cookies/forms. You will need the ID and password for the Volunteer Resource page located in the Troop Plan Book.

Mega Overages – Troop should email cookies@girlscoutsoc.org letting us know they received too many cookies.  Include “Mega Overage” in the subject line and the following information in the body of the email:

  • Service Unit
  • Troop #
  • What extra cookies they received (variety and # of cases)
  •  Do they want to keep or return the overage
  • Contact information

The Council will make the transfer in ABC Smart Cookies if the troop has decided to keep the cookies and will give instructions on where to take the cookies if they want to return the overage.

Remind troops to collect money from girls’ families frequently.
Remind troops that the first payment is coming up on Wednesday, February 19, 2020 and should be depositing money into their Troop accounts frequently.

Update: Cookie Guide for Girls
The 2020 Cookie Guide for Girls, containing: Cookie Order Card, Money Envelope, a Cookie Guide for Girls containing goal tracking tools, Cookie Share information, a Simple Script for girls to use while going door to door and more was mailed to all girl members with an active 2020 Girl Scout membership. The Girl Scout Cookie Program began January 26.  If you have not received this mailing, please contact customer care and request a replacement.

Updates to ABC Smart Cookies Credit Card FAQs
We have received inquiries as to whether or not Gluten-free cookies can be purchased with a credit card. At this time, gluten-free cookies cannot be purchased in Orange County using a credit card. Troops will need to collect cash payments for Gluten-free cookies. Additionally, the Smart Cookies app cannot be used to scan credit cards.  Credit card information must be entered directly into the app. For additional information on the new credit card feature, see  Girl Delivery-Credit Card Instructions for New Orders. Service Unit’s Own Delivery

January 24 - 27:

  • Display Cookie Delivery Station sign in a prominent place so truck driver can see it.
  • Select a cool, dry, sheltered area before the truck arrives.
  • Have cases stacked by variety.
  • Inspect cases for visible damage—have damaged cases replaced, if possible.
  • Count cases by variety to ensure correct quantities.
  • Ensure Delivery ticket matches your Delivery Station Order Detail report.
    • If shorted cookies at delivery, make appropriate corrections to delivery ticket before signing.
  • Sign the delivery ticket.
    • Service Unit is financially responsible for cookies once the delivery ticket is signed. 
    • Do NOT distribute products to troops until the delivery is completed to your satisfaction and delivery ticket is signed. 
    • Under no circumstances is the truck driver to load from the truck to people’s cars.
    • If Troop Cookie Coordinator has not been appointed by Jan 16, they cannot pick-up troop’s cookies. A “Troop Helper” adult must pick-up order.

Distribute Cookies to Troops

  • Remind troops to bring a copy of their Troop Initial Order report and not to bring children.
  • Pull the Troop’s entire order using the Dot Sheets.
  • Have troops carefully check and count their cookies.  Cookies received should exactly match the Troop Initial Order report and Dot Sheet.
  • Hand out Stellar Seller kits to Troops who earned them.
  • Do not allow the Troop to move any cookies to their car until they have verified their full order and have signed the Dot Sheet.
  • Remind troops to keep their copy of the Troop Initial Order report for their records.
  • Troops wanting additional cookies may place an order with a cupboard.

Troops place Initial Orders in ABC Smart Cookies by 11:59pm

  • Monitor entries made by Troops in ABC Smart Cookies and contact Troop to resolve errors.

Reminder: SUs will NOT be able to add, edit or delete girls or troops in ABC Smart Cookies.

Do Now!

  • Receive registration email from ABC Smart Cookies (noreply@abcsmartcookies.com)
  • Create your account in ABC Smart Cookies
  • Verify the troops listed in ABC Smart Cookies belong to your Service Unit (girls will be uploaded into ABC Smart Cookies every Monday and Thursday beginning at 4 pm)
  • Submit a request to add any missing troop in ABC Smart Cookies to customercare@girlscoutsoc.org

November 30 and Later: After Training (Service Unit Plan book pages 7-13)

  • Review Service Unit Stretch Bonus requirements with the Service Team
  • Logon to ABC Smart Cookies with ID and Password you created to modify your user account, manage your delivery station only if you are doing your own Service Unit delivery, set-up Troop Users and send registration emails to Troop Cookie Coordinators (only two Troop Cookie Coordinators per Troop)

Reminder: SUs will NOT be able to add, edit or delete girls or troops in ABC Smart Cookies.

By December 14:

  • Check troops have created an Early Initial Order to earn the Early Initial Order Reward (ensure initial orders are in cases; contact troop if order appears too large, small or no order)

By January 4:

  • Check troops have created an Initial Order (ensure initial orders are in cases; contact troop if order appears too large, small or no order); Run Uncommitted Orders Listing report (page 15 of Service Unit Plan Book).

Welcome to the 2020 Cookie Program! As a Booth Sale Coordinator you have a very important role in ensuring girls and troops have a successful Cookie Program experience. Thank you so much for volunteering! Here are some upcoming dates to remember:

December 4 – January 12:

  • Begin securing booth sale locations for your Service Unit
  • Conduct Service Unit Cookie Booth Sale Lottery
  • Use Booth Sale Spreadsheet to list booth locations, times, and dates

December 10:

January 13-20:

  • Begin to upload booth sale locations, times, and dates into ABC Smart Cookies
  • Continue to update booth sale locations as secured and troop assignments into ABC Smart Cookies and the Booth Sale Spreadsheet

January 21:

  • All booth sale location information must be uploaded into ABC Smart Cookies
  • Submit Booth Sale Spreadsheet to cookies@girlscoutsoc.org – booth sale locations, dates, times, and initial troop assignments MUST be submitted using the Booth Sale Spreadsheet.  Send updated Booth Sale Spreadsheet as changes occur
  • Super Booth Sale form due
