The 2019 Fall Product Program Has Ended
Saturday, September 21, 2019 – Sunday, November 3, 2019

The Fall Product Program is a fun, easy, and rewarding experience to help Girl Scout troops earn money while building their business savvy and financial literacy skills.

Girls of all ages build self-confidence and develop valuable business skills- such as goal setting, money management, and business ethics- while earning badges, patches, and prizes along the way. Many troops use Product Sales Program funds to support activities, Take Action projects, and field trips.

Volume 11 | November 5, 2019

Service Unit Product Managers

November 6-10   Service Unit End of Sale Processing (Service Unit Plan Book pages 22-24)

  • Make entries and changes for troops as necessary.
  • Verify all product has been assigned to girls; allocate any unapplied units to girls.
  • Verify Booth Sale patches ordered in UNIFY, if applicable.
  • Contact Troop Product Coordinator to resolve any errors.
  • Download the T1-Troop Rewards report and email to Service Unit Fall Girl Rewards Coordinator.
  • Email to nuts@girlscoutsoc.org, and state "Processing Complete" OR "Unresolved Issue in body of email.  Note all details of any problems in the body of the email and attach documentation (signed receipts; T2 spreadsheet if used etc). Also, note if troop submitted a parent delinquency report, counterfeit bill report or asked for a payment adjustment.
  • Complete the Service Unit Earned Cash Bonus Online form.
  • November 11 Service Unit Final Reports Due (Service Unit Plan Book page 24). Reports received on Monday are considered late and Service Unit will forfeit any Service Unit Earned Cash Bonus funds earned.  Do not hold up your Service Unit for a late troop.

Thank you for helping the Troops and girls achieve their goals! All of your hard work in securing sites, running lotteries, maintaining sites, and helping to monitor troops was such a huge part of their success in the Fall Product Program. You are all rock stars!

Show your appreciation to the store and property managers for allowing us to have booth sales at their location with a thank you card and a free can of nuts or box of cookies! If you obtained any photos of girls in uniform in front of your booth sites showing the store name make sure to include these in your Thank You’s and also email to nuts@girlscoutsoc.org.

Additional Booth Sales for troops with inventory remaining may be authorized through the end of November. If any of your Booth Sale locations are still open to having troops sell, connect with your Service Unit Cookie Manager to see if troops still have inventory remaining. Email nuts@girlscoutsoc.org with any locations booked through the end of November.

Booth Sales begin this weekend! Thank you for securing fall booth sale locations and scheduling troops. Please remember to send any changes or additions to your Booth Sale Spreadsheet to nuts@girlscoutsoc.org.

  • Booth Sales!
  • Distribute city permits to troops, if required (found on the Volunteer Resources Link).
  • Confirm booth shifts and notify troops of any specific store requirements.
  • Remind troops to print out Care to Share Receipts and Care to Share Flyers.
  • Remind girls to wear their Girl Scout uniforms and pins while selling.
  • Check in with troops and provide assistance if they have too much or too little product.

  • Fall Product Program Booth Sales officially start on October 25!
  • Remind any adults participating in Booth Sales that they must complete the online training. Click here for more information.
  • Continue to obtain sites for your Service Unit. Remember- every Service Unit must secure at least one fall booth location!
  • Send any Booth Sale Spreadsheet updates or changes to nuts@girlscousoc.org throughout the sale.
  • Remind troops that girls are to wear their Girl Scout Uniform when selling.

Note: We were recently notified by our delivery agent (the moving service that delivers the products to our cupboard) that they did not receive some initial orders this past weekend of Mint Penguins from our vendor (Ashdon Farms). We have been working with Ashdon Farms to correct the error. They anticipate delivery of missing product to our delivery agent by end of day on Wednesday, October 23. GSOC staff will be calling to make arrangements for delivery of product at the location of your choice. You will then need to contact your troops to arrange a pick-up date/time/location.

Products already received should be distributed as planned. Once you receive the Mint Penguins, please provide your troops with a pick up time to ensure timely distribution to customers.

We are sorry for any difficulties this may cause and thank you for working with us to provide a solution for our Girl Scouts and their customers. For additional inquiries related to this matter, please contact customercare@girlscoutsoc.org with the subject line “Mint Penguins.”

Service Unit Product Managers

Send updated TPC Roster to nuts@girlscoutsoc.org if you add a troop or update information.  Remember, troops who do not have an appointed Troop Product Coordinator listed on the Service Unit’s TPC Roster will not receive troop proceeds.

October 18  Late Initial Orders

  • Encourage troops who missed initial orders to place order with cupboard (page 15 of the Troop Plan Book).

October 19-22  Delivery & Distribution of Fall Products

  • Remind troops missing Troop Banking form troop cannot pick-up fall products or have access to UNIFY until submitted. Troop must bring Troop Banking form email confirmation as proof of submittal to pick-up nuts.  See current listing here.
  • Troops pick-up fall product Initial Orders & distribute to girls.

October 22 Cupboards Open

The delivery agent will be contacting everyone by Wednesday (10/16) afternoon with his or her date and time of delivery. 

October 19-22 Delivery of Product & Distribution (Service Unit Plan Book page 16)

  • Accept delivery of Service Unit product order, count CAREFULLY & sign for product actually received.
  • Distribute product to troops using the T1-Troop Nut/Candy and Mags report received from Service Unit Product Manager.
  • Have troops sign receipts before putting product into vehicles; Service Unit keeps the original (white) and troop keeps duplicate (yellow).
  • Instruct troops to exchange damaged product at a Cupboard.
  • Remove any trash & contact delivery agent if pallet pick-up needed.
  • Submit all paperwork collected to Service Unit Product Manager including signed receipts, delivery ticket, and T1-Troop Nut/Candy and Mags report.

Service Unit Product Managers

Make sure all Troops have supplies.  Follow-up with any TPCs who are not registered, screened or trained. Things to do this week:

Has your service unit held a Nutty Newbie, Fall Rally or added a Fall Product component to a retention event for girls and/or adults?  It is not too late!  See the Nutty Newbie Session Information and Fall Rally Guide to help you plan. 

October 1-30

  • Conduct Leader Training at Service Unit Meeting – Remember to share info with Leaders at your October Service Unit meeting. Send photos if you have girls make the presentation! 
    • Share why the Fall Product Program matters; how girls EARN & LEARN; benefits of participating and “It’s not too late!” messages. Pass around the recognition & nut samples.
    • Promote the program resources available such as: gscookiesetc.org, Rally Guide, videos & badge links.
    • Even if troops are not participating, they can use our resources for Goal Setting Guide  to help with badges!
  • Appoint Troop Product Coordinators. If not showing up on reports sent by Product Sales, ensure they have selected the role in MyGS for 2020.  If role is not visible, email customercare@girlscoutsoc.org; mark “in process” on TPC Roster.  If Troop/Girls are not showing up in UNIFY and SU Data Management Coordinator confirms troop/girls are registered, contact customercare@girlscoutsoc.org.
  • TPC Roster Update. Every troop should be noted as “Appointed” “In Process” or “Not Participating”. Send an updated final TPC Roster no later than Nov 1 showing TPC “Appointed” or troop will not earn proceeds.

October 4-6    Troop Initial Order Submitted in UNIFY by 9am (SU Plan Book pages 12-15)

  • Remind troops to collect girl initial nut orders via email, verify or make entries into UNIFY, verify or select recognitions, click the pink “Submit” button by 9am on October 6
  • Verify all participating troops have submitted initial order in UNIFY.  Verify initial booth orders
  • Contact troops to resolve errors
  • Run T1-Troop Nut/Candy and Mags report or Troop Delivery Tickets for SU Nut Distributor
  • Complete all entries, corrections & reports by 9am on October 7

September 17

  • Booth Sale Coordinator Make Up Webinar Training - This webinar training is required for all Fall Product Booth Sale Coordinators (both new and returning). Learn tips & tools to facilitate both the Fall and Cookie Booth Sale logistics for your Service Unit. Training link will be emailed to those who did not attend the training on September 10.

September 4 and later    

Troop Trainings (page 10)

  • Arrive 30 minutes prior to the TPC Training you are supporting to assist with set-up, check-in, questions and clean up.
  • Remind Troop Product Coordinators to bring their training packet consisting of the Troop Plan Book and a Girl Packet they received in the mail.  If Troop did not receive a training packet in the mail by September 16, please have them contact their Service Unit Materials Coordinator to pick-up these and other troop materials.
  • Inform Troops of the Service Unit name & # to speed up check-in at training.

Troop Product Coordinator Appointment (pages 7 & 11)

  • Appoint Troop Product Coordinators by confirming membership registration, background screening, and training has been completed and Troop Banking form is completed.  Send “Welcome” email using the template found on gscookiesetc.org/fallproduct/forms to the Troop Product Coordinator.  (No more than 2 per Troop)
  • Enter appointed Troop Product Coordinators into UNIFY

Troops will NOT earn proceeds unless Troop Product Coordinator has completed appointment steps as reflected on your roster as submitted to GSOC.

  • Attend SUPM Part 2 Workshop at the Council Headquarters in Irvine on Tuesday, September 3 at 6:57 pm.  This workshop will be interactive, our Ashdon Farms/QSP vendor will be here to talk about what’s new with Fall Products; there will be snacks, giveaways and a lot of fun! There will be a make-up training at the Council Headquarters in Irvine on Thursday, September 5 at 6:57 pm.  The make-up training is not as interactive but it will still be fun! View upcoming trainings.
