Troop Cookie Coordinators

Girls will receive invitations via mail and email soon.  Dates were in the Family Guide each parent signed prior to their daughter’s participation in our cookie program and on our gscookiesetc.org website here.

Troop Final Balance
GSOC will automatically withdraw final balance due.  Debits may not be reflected on bank statement for several days.  Notify GSOC only if debit has not shown up by April 9.

Troops may continue to sell remaining cookie inventory through March 31, 2019 with permission from the Service Unit Cookie Manager and Booth Coordinator.  Girls/Troops may sell cookies door-to-door in residential neighborhoods, at a cookie stand on their own OC property and to friends and family throughout the month of March. Anything else requires permission from the SU Booth Sale Coordinator.  Cookies may NOT be sold after March 31 without special permission from GSOC.

Great News! Cookies taken from Cupboards, virtual Cookie Share, and Direct Ship orders have increased  Troop proceeds to 75¢ and we are close to the next proceeds level! We will announce the final proceeds level, as well as top sellers, and overall cookie program results soon. Because we are so close, we have held off on processing payments. Congratulations volunteers and Girl Scouts on an impressive cookie season!

1000+ Club Angel’s Game Banner Parade
If your Girl Scout sold 1000+ packages, she is invited to march in the  Banner Parade During Girl Scout Night at Angels Stadium on May 18, provided you have purchased tickets. March 25 is the last day to  order tickets.

Cookie Dough, OC Bucks and Juliette Dollars Expire April 30th
Please remind girls to redeem their Cookie Dough, OC Bucks and Juliette Dollars before they expire on April 30th. Girls can use their certificates in the Shop, to pay for Camp Scherman, Day Camp, Council Service Fee, Troop Travel, Service Unit, and  Council Events. Troops who collect Cookie Dough from girls as payment for troop activities listed above should submit a  Cookie Dough Reimbursement form. See our  Cookie Dough FAQs for more information.

Volunteer Network Retirement 
Girl Scouts of Orange County is upgrading some of our online systems. As part of this process, the determination has been made to retire the Volunteer Network by the end of March. Members who are currently accessing resources still housed on the Volunteer Network, such as Volunteer Training and Recognition Records, Service Unit Rosters, and Product Sales Resources, will receive a separate communication with instructions for where they can access the resource once the Volunteer Network has been retired. March 10-12:

Reminder:  Allocate all cookies to girls before completing Final Recognition Order

March 12: by 3:00 p.m.

  • Make final deposit or notify Council if troop cannot make payment in full using Payment Adjustment Form (final) found on the Cookie Website.

First Payment has been credited in ABC Smart Cookies towards final balance due.

Troop Proceeds have been adjusted to 74 cents in ABC Smart Cookies.

March 13: Troop Final Paperwork Due to Service Unit by 9:00AM (Troop Plan Book page 34)

  • Email copy of Troop Balance Summary to Service Unit Cookie Manager, cc Troop Treasurer & Leaders
  • Submit any delinquency forms or Counterfeit Bill Reports with required paperwork must be submitted online by 9:00 AM on Wednesday, March 13, 2019 (if necessary)

March 14: Debit of Troop Final Balance Begins

  • GSOC will automatically withdraw final balance due.  Debits may not be reflected on bank statement for several days.  Notify GSOC only if debit has not shown up by March 31.

Troop Cookie Coordinators

New!  Order Cookies by the package.

To help our Troops achieve their goals, our amazing Cookie Cupboard volunteers are announcing their support of the following change effective March 4-10, 2019:

  • Beginning Monday, March 4, 2019 ABC Smart Cookies Planned Orders UOM (unit of measure) will be changed to packages (instead of cases)
  • Order by the package!
  • Any number of packages and variety allowed (Does not have to be a full case)
  • Troops may want to bring an empty case or bag for their cookies when ordering less than a case

Place a planned order in ABC Smart Cookies with one of the following:  Costa Mesa Cupboard, Cypress Cupboard, Irvine Cupboard, Tustin Cupboard, Trabuco Cupboard, and Yorba Linda Cupboard.

Find answers fast in your Troop Plan Book! Troops are encouraged to allocate cookies to girls NOW in ABC Smart Cookies.

March 8: Girls’ Final  Balance Due to Troop (Troop Plan Book pages 25-26)

  • First payment will be added to ABC Smart Cookies 
  • Remind girls of their total sales to see if they want more cookies to meet their goal especially if they are close to the next recognition level.  Remember, troops can pick-up cookies by the package at cupboards and do not need to get a full case.
  • Collect funds from parents; check for counterfeit bills
  • Record girl payments in ABC Smart Cookies
  • Deposit funds into Troop account RIGHT AWAY!

March 10: Cookie Program Ends

Troops with cookies may continue to sell inventory.  Check the Booth Scheduler in ABC Smart Cookies to reserve more booth sale sites.

March 10-12: End of Sale Processing (Troop Plan Book pages 31-34)

  • Order virtual Cookie Share
  • Allocate all cookies to girls
  • Exchange damaged product with a cupboard
  • Create/Update final recognition order AFTER all cookies have been allocated
  • Determine if your troop earned the Walkabout patch and complete the online Walkabout Patch form

Please Note:  if you have girls, who have sold 500, 750, 1000, or 2000 packages, remind them and their parents to check the dates of the 2019 Cookie Program Experiences to determine if they can make the date of the event or need to choose Cookie Dough instead.

March 12 by 3:00 p.m.

Helpful Hints:

  • Troop Proceeds will be adjusted in ABC Smart Cookies prior to final Troop Payment.  Troop proceeds are at $.73 at this time.  Every Cookie Counts to get us to the next proceeds level so please continue selling virtual Cookie Share!
  • Final balance of Council proceeds will be debited from troop accounts beginning Thursday, March 14, 2019.
  • Troops may continue to sell any remaining cookie inventory through the end of March, but may not have booth sales without permission from Booth Sale Coordinator.  If you have cookie inventory after Mar. 31, please contact customercare@girlscoutsoc.org for assistance.

Troops Have Reached Proceeds Level 3! Here's How to Get to Level 4
Congratulations! This past weekend troops jumped two proceeds levels! Troops have picked up enough cookie packages to earn 72¢ per package and your Direct Ship orders got us to 73¢! If each troop takes just 14 more packages (and/or Direct Ship or Cookie Share sales), troop proceeds will jump to 74¢ per package. We can do this!

Book Additional Booth Sales – Looking for more ways to help your Girl Scouts reach their goals and more? There are more booth sale slots available! Book now in ABC Smart Cookies.

Cookie Swap Site is live!  This online site allows troops to advertise extra cookies to other Girl Scout Troops. Remember to remove your troop’s entry once you have transferred/swapped product with another troop.  See page 28 of the Troop Plan Book for more information. 

Please note:  All entries will be deleted on Mondays and Thursdays at noon in an effort to keep current information on the Cookie Swap Site.

Mystery House Clues Update Encourage girls to go door-to-door and they just might earn themselves an exclusive patch, certificate1 Some houses even have Cookie Carts! Learn more about Mystery Houses here.

Girl Money Reminders
While it doesn’t happen often, a troop may receive a counterfeit bill and not even know it. Follow the recommendations below to protect your girls from counterfeit bills. If your troop receives a counterfeit bill, please follow the steps on the Counterfeit Bill Report located on gscookiesetc.org/cookies/resources-forms. Council will reimburse up to $20 per troop for counterfeit bills received at booth sales.

  • Do NOT accept bills larger than a $20.
  • Take time to look at and feel the money you receive.
  • Check for obvious things like duplicate serial numbers, security tape and watermark (Check out our Counterfeit Money Detection Guide).
  • Use a Counterfeit Detection Pen with light.

March 1: Recognition Order Feature Goes Live!

  • Place your troop’s recognition order using the Recognition Order feature in ABC Smart Cookies beginning March 1.

March 7: Cookie Chat-End of Sale Processing

  • Participate in the “End of Sale Processing” Cookie Chat at 10am or 7pm.  This Cookie Chat will cover closing out your cookie Troop’s cookie program and answer your questions in real time!  Participation is optional.  Cookie Chat information and registration is located on the Product Sales Website (gscookiesetc.org/cookies).  Register early!  Space is limited.

Troop proceeds are guaranteed at 71¢ per package and when the Council’s overall cookie sales reach 2,390,033 troop proceeds go to 72¢ per package. To date troops have sold 2,348,556 packages. We are so proud of the girls and grateful to our volunteers and parents for their support. Keep up the GREAT work!

Feb. 19 – March 10:
Find the Mystery House! Remind girls to use door hangers as they go door-to-door and they just might earn an exclusive, special patch and certificate. Select Mystery Houses will award a Cookie Cart! 

Earn the Walkabout Patch!  A fun opportunity for Girl Scouts to team up as a troop/group to sell cookies door-to-door, reach more customers, and earn a fun patch!

Feb. 20:
ACH Debit of Troop First Payment
begins (Troop Plan Book pages 25-27). GSOC will automatically withdraw the first payment amount. Each bank processes payments differently, so it may take a few days to show up in your troop account.

February 26:
Troop Case Exchange Day

Bonus troops will have the option to participate in a special CASE EXCHANGE DAY. This means bonus troops can exchange full cases for a different variety. So if you accidentally order too many Shortbread cookies, you can swap them for Thin Mints! Some limitations apply. Did your troop earn the bonus? Find out here .

Troop Proceeds Update
To date troops have picked up 2,261,280 packages; just 128,753 more packages to go to reach the first  troop proceeds jump to 72¢! We are noticing a trend in online sales are on the rise thanks to the ability to mix and match packages! We are so proud of the girls and are grateful to our volunteers and parents for their support. Keep up the GREAT work!

Stellar Skills Contest
Calling all Orange County Girl Scouts who have standout cookie business skills! We want first-time sellers and veteran cookie pros alike to enter the Stellar Skills contest. One girl will be selected to represent each of the 5 Skills: Goal Setting, Decision Making, People Skills, Business Ethics, and Money Management. Our Steller Skills girls and their families will be invited to attend the Stellar Sellers Dinner, receive a special recognition of their Stellar Skills, and earn a fun patch! Complete the online entry form by March 31 to enter.

Don’t Run Out of Materials!

We have plenty of Order Cards, Money Envelopes, Receipt Books, and Family Guides. If you need additional materials, contact your Service Unit Cookie Manager. Materials are also available at Council Headquarters in Irvine.

Feb 11-17:  Prepare for First Payment (Troop Plan Book pages 25-27)

  • Collect money from parents and deposit in Troop Account
  • Record girl payments in Smart Cookies
  • Smart Cookies sends email with troop payment amount due

Feb 15:  Booth Sales begin – Rain or Shine (Troop Plan Book pages 21-24)

  • Review Booth Sale Checklist and print Booked Booth Sales Summary & Booth Sale Location reports from SmartCookies
  • Cancel unneeded booth shifts in Smart Cookies right away, preferably by 10 am the Monday prior, especially for Waze booths, so another troop can sign-up for the shift and we don’t disappoint customers
  • See updated Cookie Cupboard List here (you will need the Volunteer Network ID and Password)
  • Door-to-door and cookie stands in Orange County continue.

Gluten Free Caramel Chocolate Chip Available Online Again!
This popular new cookie will be available (while supplies last) via our Smart Cookies Direct Ship program beginning this Thursday, February 14th after 11 AM PST.

Rain or Shine: Booth Sales Begin this Friday, February 15
A Girl Scout is prepared for any type of weather. Store cookies off the ground and in a cool, dry location, like in an empty cooler or tarp-covered wagon. To prevent melting, store with a towel between the cookies and ice packs. Check with your Booth Sale Coordinator if an E-Z up is needed. Booth Angels will be visiting booths with certificates starting this weekend! Check out the Booth Sale Guidelines and Tips (Troop Plan Book pages 21-24) for ideas to make your booth stand out. Don’t forget to wear your Girl Scout uniform! Select booths will be advertised on Waze starting this weekend.

**If you need to cancel a booth sale reservation, you must cancel in Smart Cookies right away, preferably by 10 am the Monday prior so we can open the shift for other interested sellers. Thank you!**

Get Your Selling in the Rain Patch

Take a photo of your Girl Scout or Troop selling in the rain and tag us @GirlScoutsOC on Facebook, Twitter, or Instagram. Bring your post into our Irvine or Yorba Linda Girl Scout Shop to pick up a FREE Selling in the Rain patch for each girl in the photo.

Selling in the Rain Patches will be available for pick up starting Tuesday, February 19 while supplies last. Limit 1 per Girl Scout member in post.

Troop Cookie Coordinators

Last Call for Mega Shortages - Troops should contact a cupboard to make arrangements to pick-up the cookies they were shorted at the mega delivery by Friday, February 9, 2019.  Include “Mega Shortage” in the subject line and the following information in the body of the email:

  • Service Unit
  • Troop #
  • What they were missing (variety and # of cases)
  • Contact information

The Cupboard Manager will confirm receipt of the email and arrange a pick-up date and time with the troop.  The Cupboard Location listing is located on gscookies.org/cookies/resources-forms. You will need the ID and password for the Volunteer Network located in the Troop Plan Book.

Mega Overages – Troop should email cookies@girlscoutsoc.org letting us know they received too many cookies.  Include “Mega Overage” in the subject line and the following information in the body of the email:

  • Service Unit
  • Troop #
  • What extra cookies they received (variety and # of cases)
  • Do they want to keep or return the overage
  • Contact information

The Council will make the transfer in ABC Smart Cookies if the troop has decided to keep the cookies and will give instructions on where to take the cookies if they want to return the overage

Planned Orders (Troop Plan Book pages 17-20 in)
Troops can place up to 5 planned orders per week (Monday-Sunday).  Planned orders are placed by the CASE.  Please be sure your Troop Cookie Coordinator’s information is listed on the Troop Information page in ABC Smart Cookies.  This information is used to send order pick-up confirmations by the Cookie Cupboard Managers.  Remember, Troops cannot pick-up their planned orders until they receive a confirmation email from a Cookie Cupboard.  Confirmations from the Cookie Cupboards will be sent within 24-48 hours of your pickup time.

Please note: Do NOT change a planned order after it has been entered into ABC Smart Cookies.  The Cupboard Managers will never see the changes and will only hand out product that is listed on the confirmation you received from the Cupboard.  Place a new planned order if you need additional cookies.  If you need less, let the Cupboard Manager know by replying to the cupboard confirmation.  

Damaged Product – Complete the Damaged Product Report and contact a cupboard.  The Cupboard Manager will work with you on a date and time to exchange the damage product.

Cupboard Listing – A full listing is up on the Volunteer Network and the cupboard location flyer can be found on the Resources/Forms page on gscookiesetc.org/cookies/.

Girl Money Reminders: Feb 1 – March 8
(Troop Plan Book pages 25-26)

  • Collect money from girls often and before giving out more cookies!
  • Count all money received in the presence of the parent/guardian or another adult.  Check all money received for counterfeit bills. Do not accept counterfeit bills. Give the parent/adult the yellow copy of the signed receipt. Troops keep the white receipt copy.
  • Record all girl payments in ABC Smart Cookies.
  • Deposit girl money into the TROOP account.
  • All cookies received through Sunday, February 3, 2019 (initial order, planned orders picked up at cupboards and troop to troop transfers) will be included in the Troop’s first payment being debited from the troop’s bank account beginning Wednesday, February 20, 2019.  See page 27 of Troop Plan Book for details.

First Come, First Served Booth Sale Reservations

  • The Booth Scheduler opens at noon on Wednesday, February 6, 2019 for all troops/groups to reserve up to 75 booths and to cancel booth sales shifts in ABC Smart Cookies.  Beginning February 12, troops may book unlimited booth sales in ABC Smart Cookies.
  • Check with your Booth Sale Coordinator about public spaces such as parks, beaches, college campus, farmers market or corner booth sale opportunities (available ONLY with permission during the booth sale period Feb 15-Mar 10)

Cookie Swap Site will open on February 19.  All Troop Cookie Coordinators with valid email information in ABC Smart Cookies will receive login information soon.

A Message About the New Gluten-free Caramel Chocolate Chip Cookie 
Direct ship sales of the Gluten Free Caramel Chocolate Chip cookie are tracking significantly higher than anticipated and ABC Bakers recently notified us that the cookie is sold out on online. Due to high demand, Girl Scouts of Orange County has also sold out of the supply of any additional cookies we had available to troops. Troops who ordered the cookie in advance of the sale may still have it in their inventory.

Girl Scouts of Orange County will alert our members if we receive notice from ABC Bakers that they become available again online.

Adult Booth Sale Training
The online Adult Booth Sale Training is now live! All Adults participating in booth sales must complete online Booth Sale training, even for parent/daughter booth sales. Click here to get started.

January 31: Cookie Chat-Next Steps

A Message About the New Gluten-free Caramel Chocolate Chip Cookie 
Direct ship sales of the Gluten Free Caramel Chocolate Chip cookie are tracking significantly higher than anticipated and ABC Bakers recently notified us that the cookie is sold out on online. Due to high demand, Girl Scouts of Orange County has also sold out of the supply of any additional cookies we had available to troops. Troops who ordered the cookie in advance of the sale may still have it in their inventory.

Girl Scouts of Orange County will alert our members if we receive notice from ABC Bakers if they become available again online.


We express our sincere thanks to everyone who gave time this Saturday to help distribute Girl Scout Cookies to over 700 troops across Orange County and to those who picked up cookies. Whether you volunteered on the ground at our Lake Forest or Anaheim Mega Delivery locations, or loaded your car, truck, or moving van full of cookies, your support makes our Cookie Program possible.

We are aware that there were long lines at the Anaheim Mega Delivery location and want to apologize. We experienced an unexpected shortage of volunteers during several timeslots at the Anaheim location, which slowed processing times. We are reviewing ways we can improve traffic control to reduce wait times next year. Thank you for your patience and for everything you are doing to make sure our Girl Scout Cookie Pros have an incredible experience this season!

A Message About the New Gluten-free Caramel Chocolate Chip Cookie
Direct ship sales of the Gluten Free Caramel Chocolate Chip cookie are tracking significantly higher than anticipated. ABC Bakers has informed us that the cookie is currently sold out on the Girl Scout Cookie Program’s online platform. Gluten Free Caramel Chocolate Chip cookies will be distributed to all Girl Scouts of Orange County troops that ordered the cookie in September, as well as those who submitted a wait list order.

Girl Scouts of Orange County will alert our members if we receive notice from ABC Bakers if they become available online. We, Girl Scouts of Orange County, have a VERY limited supply of the gluten-free Caramel chocolate Chip cookies. We will release these cookies to troops on a first come, first served basis until they are gone. If interested, please click here to submit your gluten-free request.

Troop Cookie Coordinators

Happy New Year! Initial orders are due by 11:59pm tonight, Tuesday, January 8th! If you do not place an initial order, your troop will NOT have cookies the first few days of the Cookie Program.

Remember to make noreply@abcsmartcookies.com a safe sender so you receive the registration and other emails sent through ABCSmartCookies.com.

Now – January 8: (Troop Plan Book pages 11-13)

  • Enter Initial Order into ABC Smart Cookies by 11:59pm on January 8 (tonight)
    Review Initial Order Bonus information and minimum order required on  2018 Cookie Sales History Chart for returning troops. New troops may qualify for BONUS requirement #1 by ordering 85% of the per girl average for troop level times the total number of girls in your troop (be sure to round up).
  • Enter Initial orders by CASES. There are 12 packages in each case.

Please note:  When placing the Troop’s initial order in ABC Smart Cookies, you must click on the delivery station at the bottom of the troop initial order page to make the delivery station “stick” for your troop’s order.  If this step is not completed, your Service Unit’s cookie totals will not balance and your troop’s order may not be included in the initial order delivery.  See the updated Entering Troop Initial Order instructions located on gscookiesetc.org/cookies/Resources-Forms.

  • Gluten Free Cookies preordered in September (see this list) count towards the Initial Order Bonus
  • Council will enter Gluten-Free orders on January 10

January 11: Print Troop Initial Order Report

  • Print Troop Initial Order report on January 11 to include troop Gluten Free order.  Council will enter the Gluten Free orders for each troop on January 10.   Use Troop Initial Order report at cookie pick-up in January and keep for your troop records

January 12: Troop Cookie Coordinator Training

  • This is our last classroom training for Troop Cookie Coordinators.  The online training for Troop Cookie Coordinator will be available throughout the program.

December 1 – January 8: (Troop Plan Book page 6)

  • Qualify for Troop Cookie Coordinator position
    • Register via MyGS
    • Select position in MyGS and pass background screening
    • Submit Troop Banking Form
    • Complete Troop Cookie Coordinator training, online training is still available
    • Connect with Service Unit Cookie Team for troop training materials & booth sale lottery day, time & location
    • Partner with Troop Leaders to ensure all girls are registered, Schedule family meeting, Help troop and girls set goals and determine Troop’s initial cookie order after reviewing Initial Order Bonus requirements
  • Verify Girl Information in ABCSmartCookies (Troop Plan Book page 8)
    • Check all girls are listed in ABC Smart Cookies
    • Work with troop parents & Leaders to ensure registrations or transfers complete. Cannot add, edit or delete girls
  • Hold a Family Meeting (Troop Plan Book page 10)
    • Use the Family Guide for training girls and parents
    • Give the girls a role
    • Collect Signed Parent Responsibility Form for each girl participating

January 8, 2019: (Troop Plan Book pages 11-13)

  • Place Your Initial Order
