Service Unit Cookie Manager

Thank you for your support of the Troop Cookie Coordinators this season!  Top sellers will be announced in April.

IMPORTANT:  We will be pulling the delivery address for the recognitions from ABC Smart Cookies on Wednesday, March 20 to give to our vendors.  Please look at your Service Unit information under the Council tab in ABC Smart Cookies to make sure the name and address listed is where the recognitions are to be delivered.  Follow the instructions on page 8 of the Service Unit Plan Book if this information needs to be updated.

Recognition orders will be final and cannot be changed on Wednesday, March 20.  Please email cookies@girlscoutsoc.org if any changes need to be made in ABC Smart Cookies.

Top Resources and Reminders

Great News! Cookies taken from Cupboards, virtual Cookie Share, and Direct Ship orders have increased  Troop proceeds to 75¢ and we are close to the next proceeds level! We will announce the final proceeds level, as well as top sellers, and overall cookie program results soon. Because we are so close, we have held off on processing payments. Congratulations volunteers and Girl Scouts on an impressive cookie season!

1000+ Club Angel’s Game Banner Parade
If your Girl Scout sold 1000+ packages, she is invited to march in the  Banner Parade During Girl Scout Night at Angels Stadium on May 18, provided you have purchased tickets. March 25 is the last day to  order tickets.

Cookie Dough, OC Bucks and Juliette Dollars Expire April 30th
Please remind girls to redeem their Cookie Dough, OC Bucks and Juliette Dollars before they expire on April 30th. Girls can use their certificates in the Shop, to pay for Camp Scherman, Day Camp, Council Service Fee, Troop Travel, Service Unit, and  Council Events. Troops who collect Cookie Dough from girls as payment for troop activities listed above should submit a  Cookie Dough Reimbursement form. Volunteer Network Retirement 
Girl Scouts of Orange County is upgrading some of our online systems. As part of this process, the determination has been made to retire the Volunteer Network by the end of March. Members who are currently accessing resources still housed on the Volunteer Network, such as Volunteer Training and Recognition Records, Service Unit Rosters, and Product Sales Resources, will receive a separate communication with instructions for where they can access the resource once the Volunteer Network has been retired. Service Unit Cookie Manager

It’s Service Unit crunch time!  Be sure to check troop reports for accuracy, make corrections and complete steps to be eligible for SU Bonus.

March 13: Troop Final Paperwork Due to Service Unit by 9:00AM
(Service Unit Plan Book page 29)

  • Troops EMAIL copy of Troop Balance Summary to you and cc their Troop Treasurer & Leaders. 

March 13-17: End of Sale Service Unit Processing (Service Unit Plan Book pages 30-35)

Completing these steps is a requirement for the SU Bonus

  • Review Troop reports for accuracy and make corrections
  • Verify all cookies have been assigned using the Troop on Hand Inventory, allocate leftover to girls and correct any over allocations made by troops (listed on Troop on Hand Inventory as a negative number)
  • Verify recognition orders have been placed, create and review orders for troops as needed

Reminder, use the Manage Recognition Orders feature under Recognitions to update recognition orders as needed.

By Sunday, March 17:
Completing these steps is a requirement for the SU Bonus

  • Send email to cookies@girlscoutsoc.org saying “Service Unit Processing is complete.” In the subject line.  In the body of the email, include information for troops with unresolved errors, delinquencies or Counterfeit Bill reports if necessary.  Note if a troop was unresponsive.
  • Complete online Service Unit Stretch Bonus form located at www.gscookiesetcorg/cookies/forms beginning March 14th

THANK YOU to all of our amazing volunteers, parents, families, and friends who supported all of our Orange County Cookie Bosses this year during the Cookie Program. With your support, our girls were able to reach beyond their goals and achieve Level Four Troop Proceeds and will earn 74 cents per package sold. What an amazing achievement! The Product Sales Team is tallying up all final numbers and we will have more updates for you soon. Be on the lookout for the final top seller lists in the April Member News!

Troops Have Reached Proceeds Level 3! Here's How to Get to Level 4
Congratulations! This past weekend troops jumped two proceeds levels! Troops have picked up enough cookie packages to earn 72¢ per package and your Direct Ship orders got us to 73¢! If each troop takes just 14 more packages (and/or Direct Ship or Cookie Share sales), troop proceeds will jump to 74¢ per package. We can do this!

Troop proceeds are guaranteed at 71¢ per package and when the Council’s overall cookie sales reach 2,390,033 troop proceeds go to 72¢ per package. To date troops have sold 2,348,556 packages. We are so proud of the girls and grateful to our volunteers and parents for their support. Keep up the GREAT work!

Feb. 20 Troop First Payment via ACH Debit will begin. Each bank process payments differently, so it may take a few days to show up in your troop account.

  • Instruct troops who are having difficulties making their first payment to:
    •  Schedule booth sales using the Booth Scheduler on ABC Smart Cookies or by contacting their Service Unit Booth Coordinator
    • Post excess inventory on the Cookie Swap site

Troop Proceeds Update
To date troops have picked up 2,261,280 packages; just 128,753 more packages to go to reach the first  troop proceeds jump to 72¢! We are noticing a trend in online sales are on the rise thanks to the ability to mix and match packages! We are so proud of the girls and are grateful to our volunteers and parents for their support. Keep up the GREAT work!

Stellar Skills Contest
Calling all Orange County Girl Scouts who have standout cookie business skills! We want first-time sellers and veteran cookie pros alike to enter the Stellar Skills contest. One girl will be selected to represent each of the 5 Skills: Goal Setting, Decision Making, People Skills, Business Ethics, and Money Management. Our Steller Skills girls and their families will be invited to attend the Stellar Sellers Dinner, receive a special recognition of their Stellar Skills, and earn a fun patch! Complete the online entry form by March 31 to enter.

Gluten Free Caramel Chocolate Chip Available Online Again!
This popular new cookie will be available (while supplies last) via our Smart Cookies Direct Ship program beginning this Thursday, February 14th after 11 AM PST.

Rain or Shine: Booth Sales Begin this Friday, February 15
A Girl Scout is prepared for any type of weather. Store cookies off the ground and in a cool, dry location, like in an empty cooler or tarp-covered wagon. To prevent melting, store with a towel between the cookies and ice packs. Check with your Booth Sale Coordinator if an E-Z up is needed. Booth Angels will be visiting booths with certificates starting this weekend! Check out the Booth Sale Guidelines and Tips (Troop Plan Book pages 21-24) for ideas to make your booth stand out. Don’t forget to wear your Girl Scout uniform! Select booths will be advertised on Waze starting this weekend.

**If you need to cancel a booth sale reservation, you must cancel in Smart Cookies right away, preferably by 10 am the Monday prior so we can open the shift for other interested sellers. Thank you!**

Get Your Selling in the Rain Patch

Take a photo of your Girl Scout or Troop selling in the rain and tag us @GirlScoutsOC on Facebook, Twitter, or Instagram. Bring your post into our Irvine or Yorba Linda Girl Scout Shop to pick up a FREE Selling in the Rain patch for each girl in the photo.

Selling in the Rain Patches will be available for pick up starting Tuesday, February 19 while supplies last. Limit 1 per Girl Scout member in post.

Service Unit Cookie Manager

Last Call for Mega Shortages - Troops should contact a cupboard to make arrangements to pick-up the cookies they were shorted at the mega delivery by Friday, February 9, 2019.  Include “Mega Shortage” in the subject line and the following information in the body of the email:

  • Service Unit
  • Troop #
  • What they were missing (variety and # of cases)
  • Contact information

The Cupboard Manager will confirm receipt of the email and arrange a pick-up date and time with the troop.  The Cupboard Location listing is located on gscookies.org/cookies/resources-forms.  You will need the ID and password for the Volunteer Network located in the Troop Plan Book.

Mega Overages – Troop should email cookies@girlscoutsoc.org letting us know they received too many cookies.  Include “Mega Overage” in the subject line and the following information in the body of the email:

  • Service Unit
  • Troop #
  • What extra cookies they received (variety and # of cases)
  • Do they want to keep or return the overage
  • Contact information

The Council will make the transfer in ABC Smart Cookies if the troop has decided to keep the cookies and will give instructions on where to take the cookies if they want to return the overage.

Girl Money Reminders: Feb 1 – March 8
(Service Unit Plan Book  page 25)
Remind troops to collect money from girls’ families frequently.
Remind troops that the first payment is coming up on Wednesday, February 20, 2019 and should be depositing money into their Troop accounts frequently.

  • Troops should complete a new Troop Banking form if their bank account information has changed.

Last Call for Mega Shortages - Troops should contact a cupboard to make arrangements to pick-up the cookies they were shorted at the mega delivery by Friday, February 9, 2019.  Include “Mega Shortage” in the subject line and the following information in the body of the email:

  • Service Unit
  • Troop #
  • What they were missing (variety and # of cases)
  • Contact information

The Cupboard Manager will confirm receipt of the email and arrange a pick-up date and time with the troop.  The Cupboard Location listing is located on gscookies.org/cookies/resources-forms.  You will need the ID and password for the Volunteer Network located in the Troop Plan Book.

A Message About the New Gluten-free Caramel Chocolate Chip Cookie 
Direct ship sales of the Gluten Free Caramel Chocolate Chip cookie are tracking significantly higher than anticipated and ABC Bakers recently notified us that the cookie is sold out on online. Due to high demand, Girl Scouts of Orange County has also sold out of the supply of any additional cookies we had available to troops. Troops who ordered the cookie in advance of the sale may still have it in their inventory.

Girl Scouts of Orange County will alert our members if we receive notice from ABC Bakers that they become available again online.

We express our sincere thanks to everyone who gave time this Saturday to help distribute Girl Scout Cookies to over 700 troops across Orange County and to those who picked up cookies. Whether you volunteered on the ground at our Lake Forest or Anaheim Mega Delivery locations, or loaded your car, truck, or moving van full of cookies, your support makes our Cookie Program possible.

We are aware that there were long lines at the Anaheim Mega Delivery location and want to apologize. We experienced an unexpected shortage of volunteers during several timeslots at the Anaheim location, which slowed processing times. We are reviewing ways we can improve traffic control to reduce wait times next year. Thank you for your patience and for everything you are doing to make sure our Girl Scout Cookie Pros have an incredible experience this season!

Any Girl Scouts who has not received their packet by Monday, January 28, 2019 should contact customercare@girlscoutsoc.org.

GSOC will upload girls into ABC Smart Cookies today in the am & again at 5pm – if a girl is not in ABC Smart Cookies, must have attempted to register & submitted request for help to customercare@girlscoutsoc.org or girl will NOT be eligible to earn the Hydration Pack and stellar seller kit. 

Girl uploads will continue throughout the program period. Girls registering after January 8th will NOT earn the duffle bag and stellar seller kit.

January 8: Troop Initial Order (Service Unit Plan book page 14)

Troops place Initial Orders in ABC Smart Cookies by 11:59pm

  • Monitor entries made by Troops in ABC Smart Cookies and contact Troop to resolve errors
  • Initial orders are entered by CASES
  • Council will enter Gluten-Free on Thursday, January 10
  • Gluten-Free counts towards the initial order

January 9: Service Unit Initial Order Processing (Service Unit Plan book page 14-18)

  • Check each troop’s order using the Manage Order Feature or by running the Delivery Station Order Detail report
  • Initial orders are entered by CASES.
  • Make initial order corrections; Create initial orders for Troops who missed the deadline as necessary
  • Deactivate ABC Smart Cookies account and send email if Troop has not met appointment requirements

January 11: Begin Printing Dot Sheets

  • Begin printing Dot Sheets on January 11 so they include troop Gluten Free orders.  Council will enter the Gluten Free orders for each troop on January 10.

Service Unit Cookie Manager

Find answers quickly in your Service Unit Plan book!

November 30 and later  After Training: (Service Unit Plan book pages 7-12)

  • Review Service Unit Stretch Bonus requirements with the Service Team
  • Logon to ABC Smart Cookies with ID and Password you created to modify your user account, set-up Troop Users and send registration emails to Troop Cookie Coordinators.
  • Reminder: SUs will NOT be able to add, edit or delete girls or troops in ABC Smart Cookies.
  • Resend Registration email to Troop Cookie Coordinators as needed (page 10 of Service Unit Plan book)
  • Appoint Troop Cookie Coordinators.  No more than two troop users per Troop.
  • Support Troops in determining their Initial Order referring to Initial Order Support on page 12 of the Service Unit Plan Book and 2018 Cookie Sales History Chart

Please note:  When Troops place their initial order in ABCSmartCookies, they must click on the delivery station at the bottom of the troop initial order page to make the delivery station “stick” for their troop order.  If the troop does not complete this step, their order will not show up on the delivery tickets, delivery station summary or summary detail reports.  Refer Troops to page 12 of the Troop Plan Book for instructions.

For Service Unit Delivery:  Secure location and create a rain plan. Request Certificate of Insurance or Additional Insurance for non-members using the Online Facility and Insurance Requests form, if required. Ensure Delivery Station has been updated in ABC Smart Cookies (Service Unit Plan Book page 8)

  • For Mega Delivery on Saturday, January 26 North and South County locations:  Remind troops to secure drivers (must be “Troop Helpers”) and volunteer to work 2 hour shift (does not need to be a Girl Scout & cannot be a driver)

Troops are continuing to join the Cookie Program!  Please have materials (Family Guide, Recognition flyers, Troop Plan Book, and Cookie Receipts) ready for them to pick-up.  Contact customercare@girlscoutsoc.org in more materials are needed.

Service Unit Cookie Recognitions Coordinator online training will be available on http://www.gsoclearning.com/  beginning March 13, 2019.

Do Now!

  • Receive registration email from ABC Smart Cookies (noreply@abcsmartcookies.com)
  • Create your account in ABC Smart Cookies
  • Verify the troops listed in ABC Smart Cookies belong to your Service Unit (girls will be uploaded into ABC Smart Cookies every Monday and Thursday beginning at 4 pm)
  • Submit a request to add any missing troop in ABC Smart Cookies to customercare@girlscoutsoc.org

November 30 and later After Training (Service Unit Plan book pages 7-12)

  • Review Service Unit Stretch Bonus requirements with the Service Team
  • Logon to ABC Smart Cookies with ID and Password you created to modify your user account, manage your delivery station only if you are doing your own Service Unit delivery, set-up Troop Users and send registration emails to Troop Cookie Coordinators (only two Troop Cookie Coordinators per Troop).

Reminder: SUs will NOT be able to add, edit or delete girls or troops in ABC Smart Cookies.

By January 5

  • Offer Cookie Rookie Talk or Initial Order workshop for Service Unit Stretch Bonus (See SU Cookie Manager Part 1 online training)
  • Check troops have created an Initial Order (ensure initial orders are in cases; contact troop if order appears too large, small or no order); Run Uncommitted Orders Listing report
